Invoice essentials

What should a UK invoice include?

For an ordinary invoice, current GOV.UK guidance lists the following core information. Add clear payment terms as well, so the customer knows when and how to pay.

  • A unique invoice number
  • Your business name, address and contact information
  • The customer’s company name and address
  • A clear description of the goods or services
  • The date the goods or services were supplied
  • The invoice date
  • The amounts being charged
  • VAT where it applies
  • The total amount owed
Limited companies

Use the full registered company name.

Use the company name as it appears on the certificate of incorporation. If directors are named on the invoice, current guidance says all directors must be listed.

Sole traders

Show the owner and trading name clearly.

Include your name and any business name used. If you trade under a business name, include an address where legal documents can be delivered.

VAT registered?

VAT invoices need additional information.

Only VAT-registered businesses can issue VAT invoices. They need extra detail such as the supplier VAT number, applicable VAT rate, net amount and VAT amount. The workbook starts at 0%: do not change it merely because a VAT field is present.
